Fees and Payments
Hallett Cove Scout Group charges fees to help cover the costs of running our Scouting program.
These costs include things such as:
- program resources and activities
- equipment and its maintenance
- badges, awards and certificates
- hall and facility maintenance
- utilities and insurance
- Leader training
- other costs associated with operating the Group.
Members also contribute towards the annual Scouts Australia – SA Branch membership fee.
Fees are normally invoiced at the beginning of each school term.
Joining the Group
When a young person joins the Group, the initial invoice will normally include:
- a payment towards the annual Scouts Australia – SA Branch membership fee
- the applicable Hallett Cove Scout Group Term Fee
- the Initial Joining Fee.
The Group Term Fee payable when joining during a school term depends on when the young person first attends a Scouting meeting.
The annual Scouts Australia membership fee is recovered over the four terms that make up the member’s membership year.
Government Assistance
Eligible members may be able to use available government assistance towards their Scouts Australia membership costs.
Families should refer to the current government and Scouts Australia requirements for eligibility and use of any available vouchers or assistance.
Payment
Fees are generally paid by electronic funds transfer using the payment details provided on the invoice.
Families are asked to ensure payments are made by the due date, and that payment references are included so that payments can be correctly allocated.
If you have difficulty paying an invoice, please contact the Group Leader or Treasurer as early as possible. We would much rather discuss an issue and work out an arrangement than have a family worry about an unpaid invoice.

Uniform
Scouting has a uniform that helps identify young people and Leaders as members of Scouts Australia.
Members wear the appropriate Scout uniform shirt, scarf, and woggle, together with suitable trousers or shorts and footwear.
Uniform requirements may vary depending on the activity. Leaders will let families know if particular clothing or equipment is required for camps, outdoor activities or other events.

Activities and Camps
Scouting is about learning through doing. Our programs give young people opportunities to learn new skills, try new activities, make friends, and take on new challenges.
Depending on their section and program, members may take part in activities such as:
- outdoor activities
- camping
- hikes
- sleepovers
- day activities
- weekend camps
- holidays and longer camps
- activities with other Scout Groups
- special events and activities.
Activities can range from a single day through to several days.
Our sections aim to provide opportunities for overnight activities throughout the year. The exact activities and frequency will vary depending on the section, age group, program and opportunities available.
Some activities have an additional cost. These costs may cover accommodation, transport, meals, entry fees, specialist equipment, or other expenses associated with the activity.
We aim to keep additional activity costs as reasonable as possible and provide families with cost information before bookings are required.

Fundraising
Hallett Cove Scout Group is largely self-funded. In addition to membership and Group fees, fundraising helps us meet the costs of operating and maintaining the Group.
Fundraising may help support things such as:
- equipment and resources
- building and facility maintenance
- Group activities
- major events
- other approved Group needs.
From time to time, the Group may also support fundraising for major events such as Jamboree. These activities may be organised specifically for the event and may involve youth members, Leaders and parents or guardians.
Families will be advised about upcoming fundraising opportunities as they become available.

Communication
Good communication helps ensure that families have the information they need about meetings, activities and events.
Hallett Cove Scout Group uses a range of communication methods, which may include:
- the Group website
- information provided by Section Leaders
- activity and event information
- direct communication from Leaders.
Families should ensure the Group has current contact details and regularly check communications about upcoming activities and events.
If you are unsure about something or have not received information you were expecting, please speak with your Section Leader or Group Leader.
Parents and Guardians
Parents and guardians play an important role in supporting young people in Scouting.
Families can help by:
- ensuring young people arrive on time for meetings and activities
- notifying Leaders if a young person will be absent
- reading information provided about activities and events
- completing required forms and providing information when requested
- ensuring fees and activity payments are kept up to date
- letting Leaders know about relevant information that may affect a young person’s participation
- raising questions or concerns with Leaders so they can be addressed appropriately.
Parents and guardians are also welcome to become involved in the Group. There are many ways to support Scouting, ranging from helping with individual activities through to taking on a formal volunteer role.
If you are interested in helping, please speak with a Leader or contact the Group Leader.
Staying Informed About Activities
We will provide information about camps, excursions, special activities, and other events to families before the activity.
Depending on the activity, information may include:
- date and times
- location
- what participants need to bring
- transport arrangements
- activity costs
- booking and payment deadlines
- any additional forms or information required.
Please read the activity information carefully and meet any booking or payment deadlines.
If you have questions about an activity, please speak with the Leader responsible for the activity or your Section Leader.
Additional Costs
The normal Group program arrangements cover most activities. Some activities, however, involve additional costs.
Additional costs may apply where an activity requires things such as:
- accommodation
- transport
- meals
- entry or admission fees
- specialist equipment
- external providers
- venue or facility hire.
Families will be advised of any additional cost before a booking is required.
